Curtin University Malaysia, a globally recognised educational institution, has revolutionised its financial operations with Xetta, a cutting-edge payment platform. Led by Lo Shuk Ngo, Application Manager in the ICT Department, the transition to Xetta has brought enhanced efficiency, accuracy, and convenience, benefiting both staff and students.

Challenges before Xetta

Managing financial transactions at Curtin University Malaysia was a complex and labour-intensive process. Payments were made in person or through online transfers, requiring manual tracking and proof submission via email. Key challenges included:

  • Time-consuming reconciliation: Payments were often hard to trace due to shared receipts or missing details, leading to delays and potential financial losses.
  • Resource-heavy administration: Manual reconciliation and limited automation required significant staff involvement.
  • Limited payment options: Students had few choices for payment methods, leading to inefficiencies and dissatisfaction.

“Students sometimes used duplicate receipts, causing discrepancies. Resolving these issues was time-intensive,” said Lo Shuk Ngo.

The Xetta solution

To address these issues, Curtin University Malaysia adopted Xetta, a comprehensive payment platform that streamlined operations and modernised its financial system. Key features of the solution include:

  • Centralised payment platform: Xetta supports a wide range of payments, from tuition and accommodation fees to merchandise and event registrations.
  • Enhanced payment flexibility: Students now enjoy options such as e-wallets, credit cards, Flywire for international payments, and local services like AliPay and UnionPay—from any device, at any time.
  • Automated processes: Payments are tracked in real-time, receipts are generated instantly, and reconciliation is streamlined automatically into financial systems—cutting manual work to near zero.

“Students receive their receipts instantly and can monitor their outstanding balances online, significantly reducing the volume of phone calls and emails,” Lo explained.

Tangible benefits of Xetta

The implementation of Xetta delivers transformative outcomes for Curtin University Malaysia:

  • Operational efficiency: Administrative tasks have been significantly streamlined, allowing the accounts receivable team to operate effectively with fewer staff.
  • Cost savings: Casual staffing needs were reduced, and lower transaction fees for e-commerce payments further optimised budgets.
  • Improved student experience: A modern, self-service payment system eliminated queues and manual processes, meeting the expectations of tech-savvy students.
  • Campus-wide integration: Departments such as accommodation, library services, and sports facilities now use the same platform, centralising operations.

A future-ready institution

Lo highlighted the strategic impact of Xetta:

“Xetta allows us to focus on strategic priorities rather than repetitive tasks. It empowers us to deliver better experiences for both students and staff.”

Curtin University Malaysia’s success with Xetta is a testament to how technology can transform financial operations. Whether your institution seeks to modernise payment systems or streamline administration, Xetta unifies your payments, simplifies workflows and frees you to focus on strategic goals.
